Job Summary
Oversee the stocking, issuing, receiving, ordering and distributing of required stock items within the workshop stores. The position also controls inventory flow by using protocols that help avoid losses while also analysing how much stock should actually exist at any one time in order to prevent under reporting or over counting while maintaining daily records of stock item. Oversee accurate and timely recording of stock movements in the Company’s accounting system as well as all required manual documentations in support of stock movements.

Job Description/Requirements
The job holder’s duties and responsibilities are outlined as follows:
- Maintain accurate and up-to-date stock ledgers, journals and bin cards. This involves accurate and timely recording of stock movements in the Company’s accounting system as well as all required manual documentations in support of stock movements.
- Generate periodic reports on stock levels and out of stock positions.
- Oversee monthly physical inventory counts and subsequent reconciliation to system balances.
- Avail monthly reconciliation of stock records to the stock accountant and the store’s manager.
- Preparation of inventory reports for management use such as stock ageing report, obsolete/damaged /expired stocks reports, slow moving stocks report and stock movement reports.
- Keep track of re-order levels, and generate regular reports on stock levels, stock turnover, and variances.
- Provide insightful analysis and recommendations for improving stock management efficiency.
- Assist in internal and external audits related to stock and inventory.
- Collaborate with other departments to develop accurate stock forecasts based on historical data and future business plans.
- To establish and maintain a dynamic stores system and staff to provide detailed and rapid evaluation and provision of items;
- Scheduling timely and accurate reporting/updating in SAP in the store to the stores personnel;
- Maintaining inventories to ensure availability of stock items for user department;
- Secures stock items by implementing security measures as per the set security standards;
- Oversee the cleanliness and safety of the stores by implementing set standards and maintain the stability and reputation of the store by complying with legal requirements and standards;
- Keep abreast with latest inventory management trends;
- Identify what needs to be ordered versus what is available in stock by use of inventory tracking software for inventory control procedures.
- Ensure all stock deliveries are monitored closely including thorough checks on quality and quantity;
- Executes daily inventory analysis; identifies and resolves discrepancies and problems
- Analyze variances in stock-related expenses and recommend corrective actions.
Qualifications
- Bachelor’s degree in accounting/finance or Diploma in Commerce or any other business- related field from a recognized institution.
- Be a Certified Public Accountant (CPA–K) or a Chartered accountant from a recognized accountancy body (e.g. ACCA);
- At least five (5) years of proven experience in stock accounting or a similar role, specifically in a busy garage or motor parts dealership.
- Must demonstrate deep understanding of motor vehicle and related spares.
- Strong understanding of accounting principles, financial regulations, and inventory management best practices.
- Proficiency in relevant accounting software (preferably SAP) and Microsoft Excel.
- Proficiency in MS Office Suite;
- Good personal organizational skills, accuracy and attention to detail;
- Good communication and interpersonal skills;
- Highly effective multi-tasking skills, with ability to prioritize tasks
