JOB SUMMARY
We are looking for a Site Secretary with 2-3 years of work experience to join our team. The ideal candidate will be responsible for managing the site office, maintaining documentation, and supporting the site management team. This role offers the opportunity to work in Kenya or with sister companies across the East Africa region.Qualifications:2-3 years of work experience in a secretarial or administrative role, preferably within a construction or site environment.Strong organizational skills, with the ability to manage multiple tasks and maintain accurate records.Proficiency in office software (e.g., Microsoft Office Suite) and basic knowledge of filing and document management systems.Excellent communication skills, both written and verbal.Ability to work effectively under pressure and meet deadlines while ensuring attention to detail.
RESPONSIBILITIES
Overall maintenance of the site office, ensuring that the work environment is organized, functional, and efficient.Maintain up-to-date records and ensure proper filing of all documentation related to site activities, staff, medical records, and material deliveries.Work diligently under your supervisor's guidance, following instructions and assisting with administrative tasks as required.Keep track of staff records, ensuring proper documentation of attendance, medical information, and material deliveries to the site.Ensure weekly and monthly reports are prepared, updated, and forwarded to the head office in a timely manner.Prepare the boardroom for meetings, ensuring all necessary materials and equipment are in place, and assist with any administrative support during meetings.Perform other secretarial duties as assigned by the site management team or higher authorities, supporting smooth site operations.
