JOB SUMMARY
We are currently seeking organized and proactive candidates to fill the role of Purchasing Assistant. This role is responsible for supporting the purchasing department in the procurement of goods and services, maintaining accurate records of purchases, coordinating with suppliers, and ensuring the timely delivery of materials or supplies. Reporting to the Purchasing Manager, the Purchasing Assistant will also assist in vendor management, track inventory levels, and support budget compliance for procurement activities. The ideal candidate will demonstrate excellent communication skills, attention to detail, and the ability to manage multiple tasks effectively in a fast-paced environment. RESPONSIBILITIES
Collect, compile and file monthlyoffers received from multiple companies.Maintain an up-to-date registerof pre-assessed, approved suppliers for procurement purposes and ensure thesuppliers information include contact details and assessment record areaccurately recorded.Identify and evaluate potentialsuppliers by conducting research and market analysis.Obtain quotes, bids, andproposals from vendors for evaluation.Compare prices, specifications,and delivery dates to facilitate informed decision-making.Support negotiations withsuppliers to achieve favorable terms and conditions.Prepare accurate purchase orders,ensuring all necessary information is included.Confirm orders and deliveryschedules with suppliers through effective communication.Resolve any issues ordiscrepancies related to deliveries or invoices promptly.Cultivate strong relationshipswith suppliers to enhance procurement processes.Monitor supplier performance,address concerns, and provide feedback where necessary.Maintain accurate and up-to-daterecords of purchases, including pricing and delivery information.Update inventory systems ordatabases to reflect changes in stock levels.Generate reports on purchasingactivities, analyzing costs and identifying savings opportunities.Collaborate with warehouse orinventory teams to ensure proper storage and distribution of purchased items.Conduct periodic stock checks, reconcilediscrepancies, and maintain inventory accuracy.Assist in forecasting futureinventory needs based on consumption patterns and organizational requirements.Stay informed about new products,suppliers, and market trends through ongoing research.Identify alternative suppliers orproducts that can improve quality or reduce costs.Follow established procurement policies, procedures,and ethical standards and ensure compliance with relevant laws, regulations,and contractual obligation.
