The Personal Assistant will provide administrative and clerical support to the executive team at a call centre company. This role involves managing schedules, coordinating meetings, handling correspondence, and assisting with various tasks to ensure efficient operation of the executive's daily activities.

Job Description/Requirements

Industry: Customer Service, Business Process Outsourcing (BPO) or service industry


Location: Tatu City ( Ruiru)



1. Schedule Management:

  • Manage and maintain the executive's calendar, including scheduling meetings and appointments.
  • Ensure the executive is aware of upcoming commitments and responsibilities.


2. Communication:

  • Handle incoming and outgoing correspondence, including emails and phone calls.
  • Draft and edit reports, letters, and other documents as required.


3. Meeting Coordination:

  • Prepare agendas and take minutes for meetings.
  • Follow up on action items to ensure timely completion.


4. Travel Arrangements:

  • Arrange and coordinate travel itineraries and accommodations.
  • Prepare travel expense reports.


5. Administrative Support:

  • Conduct research and compile data for reports and presentations.
  • Manage filing systems and ensure documents are organized.


6. Office Management:

  • Maintain office supplies and equipment.
  • Liaise with vendors and service providers.


Qualifications:

  • Education: Diploma or degree in Business Administration or a related field.
  • Experience: Minimum of 5 years of experience as a personal assistant or in an administrative role.


Skills:

  • Strong organizational and time management skills.
  • Excellent verbal and written communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Ability to multitask and prioritize effectively.
  • Discretion and confidentiality.
