As we grow, we are looking for a talented, proactive, and experienced Operations Manager to help us scale our operations, manage our client relationships, and build the team that will bring our mission to life.
Role Overview
As the Operations Manager, you will play a pivotal role in running daily operations, managing client cases, and coordinating between patients and hospitals. You will ensure the timely collection of quotations, smooth project management, and maintain excellent relationships with all stakeholders. Furthermore, you will be instrumental in the earlystage growth of the company, contributing to the onboarding of new team members and helping to build a high-performing team that will execute our mission. The role reports to the General Manager in-charge of operations and finance.
Key Responsibilities
Project Management
• Client Management: Oversee the full lifecycle of client cases, from initial inquiry to the final connection with a hospital. Ensure patients are matched with the most affordable treatment options available.
• Quotation Management: Collect, compare, and present treatment quotations from various hospitals, ensuring the best value for patients.
• Timeline & Milestones: Develop project timelines and track milestones to ensure the timely delivery of services and proper follow-up with hospitals and patients.
• Quality Assurance: Ensure that all quotations and hospital details are accurate, upto-date, and comply with company standards.
• Develop and implement operational policies, procedures, and best practices to enhance service delivery.
• Financial oversight: Supervise the team monitoring and tracking payments from providers (Hospitals, Pharmacies amongst others) and clients and ensure proper invoicing and payment collection.
•Forecast operational expenses and identify cost-saving opportunities.
Administrative Support
• Documentation: Maintain accurate records of all communications, quotations, patient data, and hospital partnerships.
• Data Management: Update and manage internal tracking systems and patient databases.
• Team Coordination: Support in scheduling meetings, managing day-to-day operations, and providing ongoing administrative support to the team.
• Communication: Serve as a point of contact for patients, hospitals, and internal team members, ensuring seamless communication throughout the process.
Team Building & Onboarding
• Team Development: Play a critical role in onboarding new team members and building a high-functioning team to execute our mission.
• Role Definition: Help define roles and responsibilities for new employees as the team expands.
• Team Training: Lead and facilitate training sessions for new hires to ensure they understand the company’s goals, processes, and standards.
• Culture Building: Foster a positive, collaborative, and mission-driven company culture as the team grows.
Compliance and Quality Assurance
• Ensure that Accord Managed Care adheres to all regulatory standards, health, and safety guidelines.
• Monitor compliance with privacy laws and protocols (ODPC) related to client data.
• Conduct regular audits and risk assessments to maintain operational excellence.
Systems & Technology:
• Build scalable processes that support onboarding clients while ensuring consistent and effective service delivery.
• Implement and manage systems to optimize workflows, enhance data accuracy, and improve patient experiences.
• Leverage technology to support decision-making and operational efficiency.
Skills & Experience
Essential
• Experience in Project Management: At least 5+ years of project management or administration experience, ideally in a startup or fast-growing environment.
• Healthcare Knowledge: Experience working with hospitals or in a healthcare related role is highly desirable, especially in terms of understanding patient care and treatment quotation processes.
• Start-Up Mindset: Comfortable working in a dynamic, rapidly evolving startup environment. Ability to adapt to new challenges, find creative solutions, and grow with the company.
• Organizational Skills: Exceptional organizational skills with the ability to manage multiple tasks and prioritize effectively.
• Communication Skills: Excellent written and verbal communication skills, capable of liaising with patients, hospitals, and internal teams.
• Proficiency in Tools: Comfortable using Microsoft/Google Office Suite.
• Problem-Solving: Ability to navigate challenges in a resourceful and effective manner, especially when dealing with patient needs and hospital negotiations.
Desirable
• Hospital Networks: Established relationships or experience working with hospitals, medical providers, or healthcare institutions.
• Start-Up Experience: Experience in building or growing teams within a startup environment.
• Leadership Skills: A natural leader who can inspire and guide team members towards achieving company goals.

Academic/Educational Qualification
• Bachelor’s degree in business or in healthcare science.
• Professional qualification in Healthcare or Finance industry is an added advantage
