Job Summary

The Internal Sales Executive is responsible for processing orders received on email, and farm gate sales in a timely manner and in line with company policy. The successful candidate will maintain regular communication with internal customers, receiving the and handling queries and complaints and ensures that all approved orders are captures on the ERP in a timely manner to facilitate approval, invoice generation, and timely dispatch.

Duties & Responsibilities 

1. Receive and process telephonic, counter and email orders promptly, confirming that the client meets internal sales and credit control requirements and enforcing all related company policies.

2. Liaise with finance to clarify and resolve any matters relating to credit control

3. Post orders that meet requirements into the sales ledger for review and approval.

4. Respond to client calls, including general enquiries and complaints, ensuring that these are recorded for follow up and reporting.

5. Take action to ensure that customer service-related queries are responded to promptly through consultation and liaison with other team members both within and beyond the eggs division or escalating the query to the supervisor, as needed.

6. Process approved returns, by recognising them into the sales systems and generating credit notes.

7. Prepare daily sales reports and submit as per the approved process.

8. Review customer statements regularly to identify customers with overdue accounts and initiate collection actions. Escalate difficult cases to the Accounts Receivables team.

9. Cultivate and maintain close relationship with internal customers, through regular communication and feedback and timey resolution of complaints.

10. Communicate any anticipated delays in delivering customer orders promptly.

11. Handle general sales admin, including quotations and order entries via the ERP system.

12. Serve as the point of contact for after-sales support, working closely with the sales and quality teams.

13. Attend sales meetings and industry events as needed.

14. Prepare any customer feedback reports and refer to the Pack Station Teams for action. 


Expected Outputs:

· Meet and exceed targets

· Order processing completed in a timely manner and to the expected standards of accuracy.

· Effectively communicate new products and solutions to customers

· Customer complaints handled professionally and reported as required

· Customers kept informed of developments that impact their orders.

· Returns posted and credit notes generated in a timely and accurate manner.


Professional Qualifications, Knowledge and Experience

i. Diploma or degree in Business, Marketing, Sales, or a related field would be advantageous.

ii. At least 3 years of experience in FMCG sales, preferably in the food or agricultural industry.

iii. Experience working with major retailers in Kenya is a strong advantage.


Key Competences

i. Proficiency in sales and inventory management software, must have experience in Microsoft Word, Excel and other Microsoft 365 Apps

ii. Strong analytical skills to interpret sales data and consumer trends.

iii. Analytical Thinking: Skilled in analysing sales data to identify trends and improve performance.

iv. Communication: Excellent verbal and written communication skills to collaborate with diverse stakeholders.

v. Attention to Detail: Meticulous in data capture, data entry and administrative tasks

vi. Time Management: Ability to juggle multiple tasks and meet deadlines effectively.
