A non-deposit taking microfinance based in Kasarani Nairobi, wishes to recruit competent and qualified candidates to fill the position of HR Administration officer.

Job Description/Requirements

Reports To: HR Manager


The HR Administration Officer will be responsible for providing comprehensive administrative support to the Human Resources department. This role includes managing HR records, handling employee inquiries, coordinating recruitment processes, and ensuring compliance with company policies and legal requirements. The ideal candidate will have a strong background in HR administration, excellent organisational skills, and the ability to handle sensitive information with discretion.


Key Responsibilities:

● Maintain and update employee records and HR databases, ensuring accuracy and confidentiality.

● Working with the Hr and finance teams to ensure payroll is aligned to organizational strategy.

● Investigate, resolve and identify discrepancies in payroll records and employee timesheets.

● Handles changes in job status, job title and exemptions.

● Prepare and process HR-related documentation, such as employment contracts, offer letters, and termination paperwork.

● Coordinate requests for leave and other absences.

● Compute employees take home based on taxes, benefits and time records.

● Process the company payroll payment period.

● Answer questions from staff about wages, attendance, time records and deductions.

● Ensuring compliance with all relevant legislation and organizational policies.

● Preparing monthly payroll reports for the management.

● Monitor employee performance in relation to the goals set, and provide regular feedback to employees.

● Coordinates with the reviewing authorities in order to ensure the appraisal process is done on time and the deserving candidate gets suitably rewarded.


Qualifications:

● Bachelor’s degree in Human Resources, Business Administration, or a related field.

● Minimum of 2 years of experience in HR administration or a similar role.

● Strong understanding of HR principles, practices, and legal regulations.

● Excellent organizational and time-management skills.

● Strong interpersonal and communication skills, with the ability to interact effectively with employees at all levels.

● High level of discretion and ability to handle sensitive and confidential information.

● Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and HR software systems.

● Attention to detail and accuracy in data entry and record-keeping.

● Ability to work independently and as part of a team in a fast-paced environment.
