Job Title: HR & Administration Manager

Reports to: CEO


Job purpose

The HR and Administration Manager is responsible for the day-to-day operations of the Human Resources Department. This role involves performing tasks in line with the company's policies and procedures, identifying problems, and proposing solutions. Prior approval should be obtained before acting outside established company policies. The manager serves as a liaison between employees and management and oversees the departmental budget. Additionally, they participate in the development, coordination, implementation, and administration of personnel policies, procedures, and programs addressing employment processes, employee benefits, compensation, labor laws, employee relations, and records management


Key Duties & Responsibilities:

• Develop and monitor the implementation of effective human resources strategies and policies aligned with the organization's overall strategy.  

• Recruit, deploy, and retain quality talent to ensure optimal alignment of human capital with the strategic objectives of the organization.  

• Coordinate organizational training needs assessments and plan training and development interventions to improve overall performance.  

• Foster a cohesive and performance-based culture that supports the organization’s objectives.  

• Review the organization’s structure to optimize support for business processes, ensuring effective manpower and succession planning.  

• Develop and maintain competitive remuneration and grading structures.  

• Establish and maintain robust administrative systems for records management, transport, and office maintenance.  

• Manage employee relations, welfare, safety, and health to create a conducive work environment and ensure legal compliance.  

• Oversee administrative functions and outsourced services, including security, office management, and maintenance of office equipment and property, ensuring workplace safety and the provision of necessary working tools.  

• Provide strategic direction for the organization’s administration through the development and implementation of strategies, policies, procedures, and systems.  

• Supervise the work of direct reports, review their performance, and identify training needs.  

• Participate in the recruitment, mentoring, and coaching of staff within and outside the department.  

• Ensure the integrity of the Human Resources Information Management System for accurate employee data.  

• Develop and monitor the implementation of the HR and Administration departmental budget for cost management.  

• Provide leadership for the HR department, ensuring efficient and effective management of staff and resources.  

• Coordinate and ensure the successful implementation of change management initiatives.  

• Implement management directives on administrative matters.  

• Exhibit the ability to architect strategy along with strong leadership skills.  

• Demonstrate excellent active listening, negotiation, and presentation skills.  

• Build and effectively manage interpersonal relationships at all levels of the organization.  


Key Qualifications

• Bachelor’s degree in Human Resources, Business Administration, or a related field.

• A minimum of 5 years’ experience in HR, with at least 3 years in a similar HR & Administration management role.

• In-depth knowledge of HR best practices, labor laws, and compliance.

• Strong leadership, negotiation, and presentation skills.

• Proficiency in HR software and Microsoft Office Suite (Excel, Word, PowerPoint)

• Excellent interpersonal skills, with the ability to build relationships at all levels of the organization.
