Job Summary

The Finance Manager will be responsible for maintaining financial, accounting and grant support services to meet the needs of the organization and the donors. This position is responsible for preparing financial statements, maintaining cash controls, providing financial reporting and analysis in support of the Kenya Paediatric Association. This position is also responsible for the operations of post-award grant administration and related accounting duties working closely with the Executive Officer, program managers and program implementation teams. Additionally, identify, define and develop funding sources to support existing and planned program activities as well as lead the development, writing, and submission of grant proposals.

Job Description/Requirements

The Finance Manager will primarily work under the direction of the Executive Officer of KPA to:

  • Procurement as per organizational policy and payments process and other settlements, while maintaining and managing list of debtors and creditors
  • Month end closure and reporting activities to different donors/authorities
  • Overseeing asset management and carrying out quarterly asset’s verification
  • Audits, reviews and assessment facilitation
  • Proper management of transaction documentation
  • Activities, functions and Manage staff time system (Time sheets); staff advance  accounts maintenance including dealing with staff travel advance management and reconciliations.
  • Prepare monthly reconciliations; Coordinate the monthly review and reconciliation of cash accounts associated with projects and KPA
  • Submitting monthly statutory deductions including knowledge of basic laws governing such statutory including the due dates
  • Payroll processing
  • Keeping proper books of accounts-TB, GL & Balance Sheet
  • Perform grant-related post-award functions, including budget and expense analysis, periodic invoicing, financial reporting, reconciliations, re-budgeting and grant closeout functions required by Grants and Contracts Administration
  • Support financial management of grant-funded projects, conduct periodic compliance review of grant-funded projects, to include financial management overviews with project and partner staff.
  • Train and provide ongoing technical assistance to staff and program partners on best practices for financial management systems in order to increase capacity.
  • Perform ad-hoc financial analysis in response to requests or to provide support to various programs
  • Ensure compliance with KPA policies and Procedures and donor rules and regulations.
  • Process journal entries to various project/activities
  • Communicate monthly/quarterly financial results with appropriate program staff and the management informing them of the financial position of the organization and projects
  • Work with program team leader, budgeting officer and appropriate country office staff in the development of forecasts, budgeting and budget revision for programs
  • Identify, define and develop funding sources to support existing and planned program activities as well as lead the development, writing, and submission of grant proposals
  • Any other duty that may be assigned.


Requirements

  • Education & Professional Qualifications: A Finance degree from a recognized university, coupled with a CPA (K) qualification. Additionally, 5-7 years of progressively responsible experience, preferably in a non-profit sector, with hands-on expertise in budgeting, forecasting, and financial reporting.
  • Financial Communication: Strong ability to convey complex financial information in a clear and accessible manner to non-financial managers.
  • Financial Analysis & Compliance: Proficient in analyzing, evaluating, and summarizing financial records to ensure accuracy, as well as adherence to policies, rules, and regulations.
  • Accounting Knowledge: Well-versed in accounting principles, including fund accounting, with a solid understanding of financial best practices.
  • Analytical & Problem-Solving Skills: Excellent analytical abilities, with strong presentation, communication, and problem-solving skills to navigate financial complexities.
  • Project Management: Skilled at managing multiple projects simultaneously, ensuring timely and efficient completion.
  • Technical Proficiency: Advanced proficiency in MS Office applications, particularly Microsoft Excel, for data analysis, reporting, and financial modeling.
  • Integrity & Teamwork: High ethical standards, integrity, and the ability to collaborate effectively with cross-functional teams. Excellent interpersonal and communication skills.
