ABOUT THE COMPANY

eProd, is a tested, proven farmer management solution for SME aggregators, such as cooperatives, traders, and food processors for agriculture and livestock, managing large numbers of suppliers. Some of the functionalities include: management of the geo-referenced supplier base, supplier contracts, field inspections, training, traceability, quality management and certification, collection routes, deliveries, payments, loans and advances, communication via SMS and email, management reports, etc. As such, eProd builds trust between the various market players.

It is a big challenge for the tens of thousands of African agricultural commodity traders and food processors to source from the millions of small-scale farmers in Africa. eProd offers an affordable ERP to manage agricultural supply chains.

It will assist buyers to organize buyers to register farmer and their fields, conduct field inspections, collections, traceability, payments., training programs, etc.

JOB SUMMARY

About the role:eProd Solutions is a Kenyan AgTech scale up business with clients in 22 African countries with about 30 staff and full time consultants. We are looking for an experienced Admin and Finance Manager that will run everyday office activities and supervise a small admin&finance team of about 2-3 staff to ensure smooth operations covering finance and administrative areas in collaboration with other departments. A successful Admin and Finance Manager will act as the point of contact for all employees, providing administrative support and managing their queries. Main duties include managing office stock, preparing regular reports (e.g. expenses and office budgets), quality assurance system, and organizing company records. If you have previous experience as an Office Administrator or similar administrative and/or finance role, we’d like to meet you. Our ideal candidate also has working knowledge of office equipment and office management tools/software. Ultimately, you should be able to ensure our finance and administrative activities run smoothly on a daily and long-term basis.

RESPONSIBILITIES

Prepare and follow up on invoicesPrepare management financial reports and presentations with recommendations supported by dataBookkeeping and posting all business expenses and bank reconciliations on accounting softwarePrepare Withholding tax and VAT report and file on iTax Online e-servicesPrepare monthly payroll and submit statutory deductions on timePrepare weekly short-term debtors and creditors summaryDevelop and monitor budgets and financial reportsUpdate and maintain office policies/SOPs, Work Instructions as needed and oversee implementationManaging office stock and suppliesOrganising company documents and confidential informationPrepare contracts and renewals in a timely mannerFile staff personal documents and organise for smooth onboarding of staff membersUpdate and maintain the company asset registerMaintain (electronic) company meeting calendars and schedule appointmentsDistribute and store correspondence (e.g. letters, emails and packages) and stock takingRequirementsDegree in Finance, Accounting, Business Management; additional qualifications in Office Administration are a plusMinimum CPA intermediate (4, or higher is a plus)Proven work experience (minimum five years) as a Management Accountant, Lead Accountant, finance and administrative Officer, finance manager or similar roleExperience with financial accounting software (e.g. Sage, QuickBooks, Tally)Solid knowledge of office and (financial) accounting proceduresExperience with office management software (e.g. MS Excel and MS Word, MS PowerPoint, CRM)Strong organization skills with a problem-solving attitudeExcellent written and verbal communication skillsAttention to detailAffinity with software/automation systems (ERPs)Affinity with agriculture
