Key Responsibilities
- Foster a culture aligned with the company’s mission, values, and policies among all staff.
- Coordinate operational activities across the factory to promote efficiency and policy compliance.
- Oversee staff supervision and ensure tasks are accomplished effectively and efficiently.
- Manage calendars, appointments, travel plans, and professionally handle company visitors.
- Handle all forms of correspondence including emails, letters, and phone calls; draft official letters in consultation with the Managing Director.
- Support budgeting and basic bookkeeping procedures.
- Maintain and update company databases and staff records.
- Manage office inventory, supplies, procurement, and verification of receipts.
- Prepare and submit administrative, operational, and production reports, proposals, and presentations.
- Maintain vehicle records, liaise with service providers and insurers, and ensure up-to-date compliance.
- Manage client database, including details of deals, contracts, and payments.
- Ensure office equipment is maintained and the company premises are in good condition.
- Prepare monthly reports with qualitative and quantitative insights, proposing practical solutions to challenges.
- Develop and maintain effective office systems including data management and filing.
- Organize and manage the Director’s diary, appointments, and travel.
- Ensure implementation and adherence to GMP, HACCP, and KEBS standards.
- Handle customer inquiries and complaints professionally.
- Oversee logistics and production processes to ensure optimal operational control.
- Ensure general housekeeping, hygiene, and pest control across the facility.
- Oversee legal compliance, certifications, and licenses.
- Manage all company insurance needs.
- Collaborate with HR and the MD in staffing decisions, recruitment, and staff development.
- Monitor staff performance and implement performance management systems.
- Identify staff training needs and coordinate appropriate training programs.
- Promote a safe and healthy work environment, ensuring health and safety standards are met.
- Lead and coordinate staff meetings and chair weekly steering committee meetings.
- Implement cost-saving initiatives and resource utilization strategies.
Qualifications & Experience
- Bachelor’s degree in Business Administration, Management, or related field (preferred).
- Proven experience in administrative and operational roles within a manufacturing or production environment.
- Strong organizational, leadership, and communication skills.
- Ability to multitask, manage time effectively, and solve problems efficiently.
- Familiarity with industry regulations and compliance standards such as HACCP, GMP, and KEBS.
- Proficiency in MS Office and experience with office management tools and systems.
