Job Summary

Prepare reports, proposals, budgets, contracts and related assignments; Responsible for ongoing management and administration of the COO office; set up meetings and appointments, organize venues and hospitality for visitors.

Job Description/Requirements

1. Prepe reports, proposals, budgets and related assignments as requested by the COO

2. Liaise with other departmental heads to collate, prepare reports and presentation in as instructed by COO

3. Follow up with the Management team on closure of assignments allocated as per minutes

4. Maintain and develop procedures and records/data for the COO office in line with the organization’s policies and objectives.

5. Ensure necessary records are maintained that can readily provide current, accurate and accessible information

6. Maintain a proper document handling system in the office by keeping an efficient filing system and retrieval system.

7. Handle external and internal communication directed to the Chief Operating Officer.

8. Update the KPI dashboards for COO

9. Submit COO expenses for processing as required Accounts department .

10. Update the COO’s diary and book appointments for and on behalf of the COO

11. Facilitate and arrange Management team meetings.

12. Coordinate and take minutes of various meetings.

13. Follow up on contacts made by the COO to cultivate ongoing relationships.

14. Provide as-needed comprehensive administrative support to the COO and manage day-to- day office operations including screening calls/emails relating to inquiries and meeting requests.

15. Coordinate travel arrangements and logistics including, but not limited to, flights, lodging, and transportation.


Qualifications & Experience:

  •  Minimum of 3–4 years of proven experience supporting a senior executive in a fast-paced environment.
  •  Bachelor’s degree in a Science or IT-related field.
  •  Excellent data analysis skills, with the ability to interpret and present complex information clearly.
  •  Strong written communication and presentation skills.
  • High level of integrity and professionalism.

 Self-driven, proactive, and able to work independently with minimal supervision.
