Overview:
We are seeking a highly organized and experienced
College Secretary to join our institution in Nakuru. The ideal
candidate will have a diploma or degree in Secretarial Studies, with
at least 5 years of experience, including managerial
responsibilities. The College Secretary will be responsible for
providing administrative support to the college’s management,
ensuring smooth day-to-day operations, and maintaining effective
communication within the institution.
Key Responsibilities:
- Manage and coordinate the college’s administrative activities, including scheduling meetings, preparing agendas, and taking minutes.
- Handle correspondence, both internal and external, and ensure timely and accurate communication.
- Maintain and update college records, including student and staff files, and ensure confidentiality
- Assist in the preparation of reports, presentations, and other documents for the management.
- Supervise and provide guidance to junior administrative staff to ensure efficiency.
- Liaise with various departments to facilitate smooth operations within the college.
- Manage the college’s reception area, including greeting visitors and handling inquiries.
- Organize and maintain office supplies, ensuring the office is well-equipped at all times.
- Perform other administrative tasks as assigned by the college management.
Qualifications and Experience:
- Diploma or Degree in Secretarial Studies or a related field.
- Minimum of 5 years of experience in a secretarial role, with at least 2 years in a managerial position.
- Experience working in a training institute is an added advantage.
- Strong organizational skills with the ability to multitask and prioritize effectively.
- Excellent communication skills, both written and verbal.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
- High level of integrity and confidentiality.
- Ability to work independently and as part of a team.
