Job Overview:
We are seeking a highly organized and experienced College Secretary to join our institution in Nakuru. The ideal candidate will have a diploma or degree in Secretarial Studies, with at least 5 years of experience, including managerial responsibilities. The College Secretary will be responsible for providing administrative support to the college’s management, ensuring smooth day-to-day operations, and maintaining effective communication within the institution.



Key Responsibilities:


  • Manage and coordinate the college’s administrative activities, including scheduling meetings, preparing agendas, and taking minutes.
  • Handle correspondence, both internal and external, and ensure timely and accurate communication.
  • Maintain and update college records, including student and staff files, and ensure confidentiality
  • Assist in the preparation of reports, presentations, and other documents for the management.
  • Supervise and provide guidance to junior administrative staff to ensure efficiency.
  • Liaise with various departments to facilitate smooth operations within the college.
  • Manage the college’s reception area, including greeting visitors and handling inquiries.
  • Organize and maintain office supplies, ensuring the office is well-equipped at all times.
  • Perform other administrative tasks as assigned by the college management.



Qualifications and Experience:


  • Diploma or Degree in Secretarial Studies or a related field.
  • Minimum of 5 years of experience in a secretarial role, with at least 2 years in a managerial position.
  • Experience working in a training institute is an added advantage.
  • Strong organizational skills with the ability to multitask and prioritize effectively.
  • Excellent communication skills, both written and verbal.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
  • High level of integrity and confidentiality.
  • Ability to work independently and as part of a team.
