To support the growth and development of the new Business Solution Centre, this role will involve managing day-to-day customer service relations, office operations, coordinating administrative tasks, and ensuring the BSC runs smoothly. The position requires exceptional organizational and communication abilities, along with a dedication to fostering a positive and efficient work environment.

Job Description/Requirements
YOUR RESPONSIBILITIES WILL INCLUDE:
- Oversee the day-to-day functioning of the office, ensuring that administrative processes run smoothly.
- Provide support to staff and management, including handling correspondence, preparing documents, and scheduling meetings.
- Manage communication channels, such as phone calls and emails.
- Supervise BSC office staff, including clerical and administrative personnel.
- Maintain filing systems and ensure the proper retention, protection, and disposal of records.
- Manage data entry and other record-keeping tasks.
- Oversee office supplies to ensure resources are available when needed.
- Establish and implement BSC policies and procedures to maintain order and efficiency. Review and propose updated BSC policies as necessary to reflect changing needs.
- Assist with budget preparation and track expenditures.
- Coordinate with building management for office maintenance and repairs.
- Ensure a safe and clean work environment.
- Provide regular office operations reports to management and identify areas for improvement.
R1. Program Development
T.1 Identify and research potential clients, Small and Medium Enterprise partners, and potential funding sources, linkages with trainees to expand the centre’s reach and impact.
T.2 Develop and maintain a comprehensive business database of financiers, value chain and market linkages, wholesalers, SMEs, etc.
T.3 Collaborate with the marketing team to develop and execute marketing campaigns to promote the centre’s services and programs.
T.4 Monitor and evaluate the effectiveness of business development initiatives and make recommendations for improvement.
T.5 Prepare reports and presentations on business development activities and outcomes including Keeping sales records of all BSC products including Bus hire and production unit sales.
T.6 Ensure adherence to the centre’s guiding principles, including ethical leadership, accountability, sustainable financing, environmental stewardship, and economic and social impact.
R2. Community Engagement
- Build and maintain strong relationships with key stakeholders, including government agencies, NGOs, and private sector organizations.
- Develop and maintain a contact database for BSC stakeholders (community, entrepreneurs, SMEs, financiers, etc.)
R3. Training
T.1 Maintain monthly and annual calendar of workshops and trainings on a wide range of farming,
environmental stewardship and business topics.
T.2 Assist in the coordination and logistics for BSC training programs and workshops.
T.3 Maintain internal database of trainers for the different BSC program
R4. Internal Administration
T.1 Provide quality and timely delivery of the project’s reports, in their agreed format and deadlines.
T.2 Advise the Management of any key developments’ forums and any other networks which may serve to the advantage of RWMT and its ability to achieve its overall objectives.
T.3 Interpret and implement government policies that affect the activities of the Business Solution Centre.
T.4 Review the projects operational budgets in conjunction with the projects team, Supervisor and relevant Finance and Administration staff.
T.5 Actively maintain the follow-up and feedback referral system to ensure beneficiaries are provided with maximum support from the organization’s various expertise.
T.6 Ensure all inventory items issued to the department are maintained in good condition and are stored neatly and in a secured room.

d) Job experience:

Other information
The role is based in our main office in a rural area in the Western part of Kenya. We are about 15 km from the nearest town . Due to the nature of work working hours might extend on some days. We are looking for candidates who are excited about living and working in a rural setup to a minimum of
3-5 years. There is a six-month probation period and we will agree on performance and learning objectives.
