Job Description/Requirements

Key Responsibilities:


Administrative Support:

Manage the CEO’s calendar, including scheduling meetings, appointments, and travel arrangements.

Draft, review, and edit correspondence, reports, presentations, and other documents on behalf of the CEO.

Handle incoming and outgoing communications, including emails, phone calls, and mail, ensuring timely responses.


Meeting and Event Coordination:

Plan, organize, and coordinate meetings, conferences, and special events, including logistics, agenda preparation, and follow-up actions.

Attend meetings with the CEO, take detailed minutes, and ensure action items are tracked and completed.


Project Management:

Assist in the planning and execution of strategic initiatives and projects led by the CEO.

Coordinate cross-functional teams and ensure project milestones and deadlines are met.


Stakeholder Liaison:

Act as the primary point of contact between the CEO and internal/external stakeholders.

Represent the CEO in communications and meetings, ensuring alignment with the CEO’s vision and objectives.


Office Management:

Maintain the executive office environment, ensuring it is organized and equipped for optimal efficiency.

Oversee budget and expenses related to the executive office, including processing invoices and managing expense reports.


Research and Analysis:

Conduct research and compile information on various topics as requested by the CEO.

Analyze data and provide insights and recommendations to support decision-making.


Confidentiality and Discretion:

Handle sensitive information with the highest level of confidentiality and integrity.

Exercise discretion in managing the CEO’s personal and professional matters.


Qualifications:

  • Bachelor’s degree in Business Administration, Management, or a related field.
  • Minimum of 5-7 years of experience in an executive assistant or similar role, preferably in a corporate environment.
  • Exceptional organizational and time management skills.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
  • Ability to work independently and collaboratively within a team.
  • High level of integrity and professionalism.
  • Keen attention to detail and strong problem-solving abilities.
