Administrative assistants are responsible for daily administrative support, paperwork and data management to ensure the efficient operation of the office. They need good organizational skills, communication skills and problem-solving skills to support the sales team and maintain communication bridges between the company and the outside world. This

Job Description/Requirements

Job Responsibilities:


Daily Administrative Support:


Responsible for handling the company's daily administrative affairs, including answering the phone, handling emails, receiving visitors, etc.


Maintain office order and cleanliness, and manage the purchase and distribution of office supplies.


Arrange and coordinate meetings, travel and other activities.


Clerical Work:


Write and edit letters, reports, meeting minutes and other clerical materials.


Manage and archive company documents to ensure the accuracy and confidentiality of information.


Data Management:


Update and maintain the company database to ensure the accuracy of customer and supplier information.


Assist in preparing sales reports and other analytical data.


Communication and Coordination:


Serve as a communication bridge between various departments within the company and external customers and suppliers.


Handle and follow up on customer and supplier inquiries and complaints to ensure timely response and resolution of problems.


Support the Sales Team:


Assist the sales team in preparing sales materials, presentations and promotional materials.


Assist in arranging sales training courses and managing student registration and feedback.


Other Administrative Affairs:


Complete other tasks assigned by managers and other senior management as needed.


Job Requirements:


Education:


A diploma or degree in administration, business management or related fields is required.


Experience:


At least 1-2 years of relevant work experience, experience in sales or service companies is preferred.


Skills:


Proficiency in office software (such as Microsoft Office suite).


Good organizational and time management skills.


Excellent communication and interpersonal skills.


Proficient in problem solving and able to work efficiently under pressure.


Language Requirements:


Fluent in English, basic Swahili skills will be a plus.


Personal Qualities:


Careful, detail-oriented, with a high sense of responsibility and work ethic.


Teamwork spirit, proactive, and willing to accept challenges.


This position typically requires the Administrative Assistant to be able to multi-task in a fast-changing work environment and provide efficient support to facilitate the smooth progress of the company's sales and daily operations.
